Notification template for your portfolio companies

Before the reporting process starts, we highly recommend letting your portfolio companies know in advance that you will be requesting ESG data from them. This heads-up prepares them for your upcoming request(s) and sets clear expectations. For this purpose, you can use the following email template to convey your message.

EMAIL TEMPLATE

Dear Portfolio Companies and Founders,

We are reaching out to inform you about the upcoming data request for your organisation as we begin a new ESG reporting cycle using Atlas Metrics.

We will kick off the reporting cycle on the [add your DATEe.g. March 31st]. You will have [X] weeks to complete the disclosures and submit them, so please reserve sufficient time/capacity for this period.

The deadline to complete your submission is [add your DEADLINE e.g. March 31st].

For returning users from last year:

  • Please utilise the same login details and just log into your Atlas Metrics account via this link.
  • You’ll find the new data request under the 2025 reporting period, ready for you to complete and share with us.
  • You can add new team members directly to your account to streamline data collection.

For new users, here’s what to expect:

  • The person designated as Admin (the contact shared with us as the nominated account manager) will receive a platform invitation email to access your Atlas Metrics account.
  • Invitations can occasionally land in spam - please check your spam/junk folder if you don’t see it.
  • Once logged in, the Admin can add team members (via settings), set roles and permissions (via your settings), and delegate tasks (via the “Tasks” page) to manage the workflow efficiently.
  • By [add your DEADLINE e.g. March 31st], you will need to complete and share the data requests appearing in your account.
  • We recommend using the virtual tour and reviewing the guidance and support resources. See more under Guidance and Support below.

Guidance and support on the Atlas Metrics platform:

The Atlas Metrics platform provides several resources to support you throughout the reporting process. You can find the Help Centre by clicking the “?” icon in the top-right corner once logged in, or directly via this link.

What you will find in the Help Centre:

  • Tutorials page: Video guides for using the platform (filterable/searchable by topic, including carbon accounting).
  • Help Articles: Step-by-step guides, especially the “Reporting Cycle 2025”
  • Ask Atlas AI: Chat with our AI assistant for instant answers.
  • Contact Support: Reach the Atlas Metrics Support team directly for technical issues or questions.
  • Virtual Tour: A guided walkthrough of the Atlas Metrics platform (which can be found via the "Ask Atlas" symbol on the bottom right once logged in).
